Job Description

Core Responsibilities

  • Client Relations & Front Desk Management:
  • Greet clients and visitors warmly upon arrival, ensuring they feel comfortable and attended to.
  • Maintain a pristine, organized reception area and conference rooms.
  • Manage the check-in process, ensuring all visitors follow firm security and privacy protocols.
  • High-Volume Communications:
  • Direct incoming calls on a multi-line system with speed and professional etiquette.
  • Screen and route calls to the appropriate legal staff or take detailed, accurate messages.
  • Manage the general firm email inbox and distribute inquiries accordingly.
  • Meeting Coordination & Prep:
  • Coordinate the master calendar for all on-site conference rooms.
  • Prepare meeting spaces by ensuring technology is functional, beverages are available, and necessary legal documents or files are staged.
  • Assist with light administrative prep, such as printing, binding, or organizing folders for client intake.
  • Administrative Support:
  • Handle incoming and outgoing mail, deliveries, and courier services.
  • Assist with basic data entry into the firm’s Case Management Software.
  • Monitor and order office and kitchen supplies to ensure seamless daily operations.
